HomeBook is a household management app for tracking the things, documents, vehicles, expenses, and reminders that make up running a home. HomeBook is local-first: every record you add is stored on your device whether or not you ever create an account. This policy explains what leaves your device, and when.

01Introduction

HomeBook is a household management app for tracking the things, documents, vehicles, expenses, and reminders that make up running a home. HomeBook is local-first: every record you add is stored on your device whether or not you ever create an account. This policy explains what leaves your device, and when.

02Information we collect

If you use HomeBook without signing in, your household records and files stay on your device. Whether or not you sign in, HomeBook sends two kinds of technical data: crash reports through Firebase Crashlytics (device model, OS version, the technical error) and anonymous usage events through Firebase Analytics (for example "an expense was added" — never amounts, names, file names or document contents). If you choose to sign in (email/password or Google), we store your email address, display name, and a unique account identifier, provided by Firebase Authentication. If you enable cloud sync, the household records you create (Things, Vehicles, Documents, Warranties, Maintenance, Reminders, Expenses, Income, Savings, Recurring Payments, Budgets, Transfers, Lending & Borrowing records, Planned Expenses, Family Member entries, and Family Occasions) are copied to a private cloud data store tied to your account, together with any photos and PDF files you attach to those records, and a profile photo if you set one.

03How we use your information

Your account and household data are used solely to provide sign-in, cloud backup, and multi-device sync for your own household. Crash reports are used solely to fix bugs, and usage events solely to understand which features are used. We do not sell your data, use it for advertising, or share it with third parties beyond the infrastructure providers (Google Firebase) that host it.

04Who can see your data

Your household's cloud data is readable only by the signed-in account that created the household; security rules on the server enforce this. Adding someone under Family Members records them (for example, who paid an expense) — it does not give their account access. Nobody else has a way to browse your data through the app. As with any cloud service, the people who operate HomeBook's Firebase project have administrative access to the underlying storage; we do not browse household data.

05Data storage and security

Local data lives in an on-device SQLite database, and your records are never transmitted anywhere unless you sign in and sync. Cloud data is stored in Google Cloud Firestore and Firebase Storage (for photos/document files), protected by security rules that restrict every read and write to authenticated members of the relevant household. Receipt scanning (Smart Expense Capture) runs entirely on-device via Google ML Kit — no photo or text is ever sent anywhere to parse it. The same applies to payment messages you share or paste into HomeBook: they're read on your phone only, and so are payment notifications if you turn on Smart Expense Detection (see Notification-based transaction detection). Notifications (budget alerts, reminders, festival and occasion heads-ups) are worked out on your phone from your own records — no server decides or sends them. Spending analytics, monthly insights and PDF statements are worked out on your phone too. A statement is created in your phone's temporary storage and leaves your phone only if you choose to share it or save it somewhere.

06Notification-based transaction detection

Optional and off by default. Smart Expense Detection works on Android only, and only after you turn it on in HomeBook, read HomeBook's in-app explanation, and then allow HomeBook's notification access in Android Settings. HomeBook uses this access for one purpose: to help you record your household's transactions.

What HomeBook looks at. Only notifications from supported payment and banking apps (such as Google Pay, PhonePe, Paytm, BHIM and bank apps). Notifications from any other app are skipped without their content being read. Chat and conversation notifications are excluded, notifications you already had before turning the feature on are not read, and HomeBook does not read SMS.

What happens on your phone. A supported app's notification is checked on your device, in memory, for a completed payment. OTPs, offers, payment requests, and pending or failed payments are skipped. For a detected payment, HomeBook keeps only the amount, the merchant or payee name, the date, the payment method, a suggested category and type (for example expense or refund), and a one-way scrambled (hashed) copy of the transaction reference number, used only to avoid showing the same payment twice. The notification's text is never saved. Account numbers, card numbers and UPI IDs are not kept. Detected payments wait on your device for you to review them; they are not uploaded or synced. The name of the app that posted the notification is used, in memory, only to recognise a UPI payment, and is not kept.

Review notifications. When a payment is detected, HomeBook shows its own notification on your phone ("New expense detected"), with Review & Add and Ignore. This can happen shortly after the payment even when HomeBook is closed: Android lets HomeBook check the payment notification on your phone, briefly, in the background. On a locked screen the notification's content is hidden, and if you turn off "show amounts in notifications" it shows neither the amount nor the payee. A merchant name you add while reviewing is remembered on your phone to recognise that merchant next time; it is not synced.

What leaves your phone. Nothing is added automatically. Only an expense or income you review and confirm is saved, just like one you entered yourself. If you are signed in, it is then synced to your household's cloud copy (see Information we collect), with its source shown as "payment notification". Notification content is never sent to HomeBook's servers, to analytics, to crash reports, or to any AI service.

Turning it off. Turn Smart Expense Detection off in HomeBook's Settings: HomeBook stops receiving notifications immediately and discards anything not yet processed. You can also remove HomeBook's notification access in Android Settings at any time. The feature also turns off when you sign out or a different account signs in. Expenses and income you already confirmed stay in your records until you delete them.

07Data retention

Local data stays on your device until you delete it, choose to remove HomeBook's data when signing out, or uninstall the app. Cloud data is kept while your account exists. When you delete your account (see Delete Account), your sign-in, account profile and profile photo are removed immediately, and — when you are the household's only member — so are the household's cloud records and attached files; a small amount of information may be retained where we are legally required to (for example, financial or security logs required for fraud prevention), but this does not apply to ordinary household records, which are deleted as described on that page.

08Third-party services we use

HomeBook uses these Google Firebase services. Always, signed in or not: Firebase Crashlytics (crash diagnostics), Firebase Analytics (anonymous usage events) and Firebase Remote Config (app version and feature settings — no personal data). Only when you sign in: Firebase Authentication and Google Sign-In (account creation and login), Cloud Firestore (household record sync) and Firebase Storage (photo and document file sync).

09Advertising

HomeBook shows no ads and includes no advertising SDK. We do not use an Advertising ID for tracking or personalization. Google Play's Data Safety form may still list Advertising ID as a technically-available identifier because Firebase Analytics' underlying library can access it on the device — HomeBook does not read or use it for any purpose.

10Your choices & rights

You can use HomeBook fully offline without ever creating an account. You can sign out at any time, and choose then whether to keep HomeBook's data on this phone or remove it (useful on a shared or handed-down phone). Uninstalling the app also deletes all local data from your device. You can request a copy or deletion of your cloud account and data at any time — see Delete Account for exactly how.

11Children's privacy

HomeBook is not directed at children and we do not knowingly collect information from children.

12Changes to this policy

We may update this policy from time to time. Material changes will be reflected here with an updated effective date.

In short: your records stay on your device unless you choose to sign in; only anonymous crash reports and usage counts are sent without it. No ads, no data sale, no tracking beyond what running the app requires.
